Bilingual Membership Coordinator (Saudi National)

Our client is seeking an experienced Membership Coordinator (English & Arabic) who will proactively assist the Director with coordinating the events pipeline and acting as a day-to-day liaison for all activities. This role is only open to Saudi Nationals. You will assist in delivering high-quality events and meetings by coordinating between members, internal teams and external suppliers. Description:
- Assisting with building and delivering the events pipeline (for example Majlis-style roundtables, briefings, networking) by liaising with the central events team to align on timelines, resources, and delivery
- Assisting with marketing promotion for key events and initiatives alongside Marketing and PR function
- Securing accreditations and permits for events (including KSA requirements) with guidance from the Events team
- Acting as the coordinator for key external partners, stakeholders, vendors, and suppliers on behalf of the Director
- Liaising with venues across the GCC, including KSA, to confirm layouts, AV, catering, access and branding
- Assisting with event registrations and check-ins using our CRM (training provided), preparing badges, guest lists and seating
- Managing photographers and videographers for events; collating assets and approvals after each event
- Implementing event plans and concepts while monitoring timelines and checklists to keep delivery on track
- Managing WhatsApp Groups for events in line with house rules and sharing approved content with social media
- Printing and organising documentation (for example sign-in sheets and membership forms) and ensuring on-site packs are complete
- Ensuring our clients branding is correctly displayed at events and captured in photos
- Reporting weekly to key internal stakeholders with concise status updates and next steps
- Following company event procedures and protocols to ensure consistency and quality
- Following up with sponsors (if required) to ensure benefits are fulfilled and materials received (bios, logos, slides)
- Supporting event budgets by gathering quotes, raising POs and maintaining a simple tracker; liaising with the finance and administrative team
- Writing short post-event reports and highlights; logging attendance and insights in the CRM
- Ensuring that all invoices are issued on time, prepaid where required, and reconciled promptly with the finance team
- Assisting with meeting preparation and follow-through (simple agendas, joining instructions, concise notes, action logging)
Criteria:
- Experience in events and marketing is an advantage
- This role is only open to Saudi Nationals

- Excellent written and spoken English and Arabic is essential
- Strong communication skills
- Must have experience in KSA/GCC
- Ability to make sound decisions while remaining calm under pressure
- Highly organized with the ability to assist on multiple projects simultaneously
- Proficient in Microsoft Office systems
- CRM system experience would be an advantage
- Strong presentation, reporting, and administrative skills
- Ability to prioritize workload, meet deadlines, and manage time effectively
- Must currently reside in KSA
